Overview
We are currently seeking a highly organised and proactive Fixed Systems Administrator to join a busy and fast-paced business. This is an excellent opportunity for someone with strong administrative and coordination skills to play a key role in supporting field engineers and ensuring the smooth delivery of service, maintenance, installation, and commissioning works.
The successful candidate will be responsible for managing engineer diaries, coordinating workloads, and ensuring all jobs are scheduled efficiently. This role requires excellent attention to detail, strong communication skills, and the ability to multitask in a dynamic operational environment.
Key Responsibilities
- Manage engineer diaries and schedule service, maintenance, installation, and commissioning work
- Liaise daily with engineers to coordinate workloads and job planning
- Prepare and send quotations to customers
- Input workshop jobs and process purchase orders
- Order stock required for scheduled works
- Track and manage service contracts, including pre-booking visits and arranging renewals
- Book installations and commissioning work as stock becomes available
- Complete all associated administrative paperwork accurately and efficiently
- Liaise with and provide feedback to the sales team when required
- Manage the hire fleet and raise hire contracts
- Provide general administrative support as required
- Maintain excellent customer service standards and communication at all times
Requirements
- Strong diary management and organisational skills
- Previous experience in an administrative or customer service environment
- Highly IT literate with the ability to learn new systems quickly
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Ability to prioritise workload and manage multiple tasks effectively
- Confident working in a fast-paced, coordination-heavy role
- Strong team player with a proactive attitude
Salary: £30,000 - £33,000 per year depending on experience
