Job Overview
We are seeking a highly organised and personable Receptionist to be the first point of contact for visitors, clients, and suppliers at our busy manufacturing facility. The successful candidate will manage front desk operations, handle incoming calls and correspondence, and provide administrative support to various departments.
In addition to reception duties, you will assist our finance team with basic credit control activities, ensuring customer accounts are up to date and payments are received promptly. This dual role is ideal for someone who thrives in a fast-paced environment, has excellent communication skills, and enjoys balancing customer service with administrative tasks.
Key Responsibilities
Reception Duties
- Greet visitors, contractors, and suppliers in a friendly and professional manner.
- Manage a busy switchboard, directing calls to the appropriate departments.
- Handle incoming and outgoing mail and deliveries.
- Maintain the reception area to a high standard of cleanliness and organisation.
- Manage visitor logs and issue passes in line with company security procedures.
Administrative Support
- Provide general office support to management and operational teams.
- Maintain accurate records and filing systems (electronic and paper-based).
- Assist with scheduling meetings and booking meeting rooms.
Credit Control Support
- Liaise with customers to chase overdue payments in a polite and professional manner.
- Issue statements, reminders, and copy invoices when required.
- Record and update payment information accurately in the accounting system.
- Work closely with the finance team to resolve account queries.
Requirements
- Previous experience in a receptionist, administrative, or front-of-house role (essential).
- Experience in credit control or basic accounts administration (desirable).
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Professional telephone manner and confident dealing with people at all levels.
- Ability to work under pressure in a busy factory office environment.
